Templates & Editing

Are your templates legally valid?

They follow common HR conventions, but they’re examples and not legal advice. Laws vary by country/state/industry. Always customize and have a lawyer review before issuing.

Can I customize the templates?

Yes—every Word/Google Docs template is fully editable. Replace placeholders (company name, role, salary, probation, joining date, benefits, notice period) and remove any sections you don’t need.

What formats do you provide?

Typically Word (.docx) and PDF, and sometimes Google Docs (File → Make a copy).

Can I add my logo, brand fonts, and letterhead?

Yes. Insert your logo in the header, update fonts to your brand, and add your address/registration details as required.

Do you include clauses for probation, background checks, or at-will employment?

Many templates include optional clauses (clearly labeled). Keep only what applies in your jurisdiction and confirm with legal.

Downloading & File Types

How do I download Word/PDF?

On each template page, click Download (Word) or Download (PDF). For Google Docs, use File → Make a copy or File → Download → Microsoft Word (.docx).

The file isn’t downloading / shows a preview. What do I do?

Try: right-click Save link as…, clear cache or use incognito, switch browser, or disable aggressive ad-blockers for our domain. Still stuck? Email contact@offerletterformat.com with the template URL.

I can’t edit the PDF.

PDFs are usually final outputs. Download the Word version to edit, then export to PDF when done.

Are your files safe?

We create files internally; still, follow your organization’s policy and scan any download before use.

Offer letter vs appointment/employment contract—what’s the difference?

Offer letter confirms selection and key terms (often first step). Appointment/employment contract is a fuller agreement (varies by region). In some places, an offer letter can be binding—get legal review.

Are your templates compliant with GDPR/DPDP/US laws?

We write neutral, globally usable language. You must localize to your region (data handling, benefits, notice, at-will/contract status, probation, leave) with legal guidance.

Can I rely only on your templates without talking to a lawyer?

We don’t recommend that. Use our templates as a starting point; always validate with a qualified lawyer.

Do you provide legal advice or drafting services?

No—we provide educational content and templates only; we’re not a law firm.

HR Scenarios & Workflow

Do you have acceptance / rejection / counter-offer email formats?

Yes—browse our Acceptance/Thank-You and Rejection/Counter categories on the site for ready-to-use letters and emails.

How do I include salary structure or variable pay?

Choose templates with a “Salary Structure / CTC Breakup / Variable Pay” section or add an annexure following your policy.

Can I issue digital offer letters with e-signature?

Yes—export to PDF and use a trusted e-signature tool (e.g., Adobe/DocuSign). Add “This document may be executed electronically.”

What about probation, background checks, moonlighting, or non-compete?

We include optional clauses. Enforceability depends on your jurisdiction—confirm with legal.

Can I revoke or withdraw an offer?

Laws differ. If revocation is possible (e.g., failing checks), include conditionality. Always seek legal advice before action.

Do you provide country-specific versions (India, UAE, USA, UK, Canada, etc.)?

Yes—check our Country category. Always localize to local law/practice (notice, probation, statutory benefits).

Do you provide industry/role variants (IT, healthcare, education, sales, HR, etc.)?

Yes—browse role-based and industry-specific formats (e.g., Software Engineer, Staff Nurse, Teacher, Sales Executive).

Privacy, Cookies & Ads

Do you track my downloads?

We may record anonymous metrics (e.g., template name, timestamp) to improve content. See our Privacy Policy.

Do you use cookies, analytics, or ads?

Yes—see our Cookie Policy. In regions requiring consent (EU/UK), non-essential cookies load only after you consent via the banner.

How can I change my cookie choices?

Use the cookie banner or the Cookie Settings link in the footer to update preferences at any time.

Requests, Support & Licensing

Can I request a new template?

Yes—email contact@offerletterformat.com with role/industry/country and any special clauses you need.

What are the usage rights?

You receive a limited, non-transferable license for personal/internal business use. Redistribution, resale, or rehosting of our templates (free or paid) is not allowed. See our Terms of Service.

Can agencies use your templates for clients?

Yes—to deliver a finished document to a client. Agencies cannot repackage or sell our templates as a product/library.

Do you offer refunds on paid templates (if added later)?

If we introduce premium packs, the specific refund policy will be shown on the product page. By default, digital goods are non-refundable once downloaded unless stated otherwise.

How fast do you reply to support emails?
